If you’ve ever opened ChatGPT, asked it to write something for your business, and got back a wall of beige nonsense that sounds like it was written for literally anyone… this one’s for you.

Because here’s the thing most people get wrong about AI. They think the problem is their prompting. It’s not. The problem is that your AI doesn’t actually know your business, so every time you ask it for something, it’s basically guessing. Politely. In corporate.

The fix has a name, and it’s an AI brain. Let me explain what that actually is, why you need one, and the simple steps to build it, without turning you into a tech bro in the process.

What an AI brain actually is

An AI brain is one central home for everything AI needs to know about your business.

Your offers, your voice, your customer, your story, how you do things, what’s worked, what hasn’t. All of it, written down in one place, so that any AI tool you use can read it and instantly understand who you are and what you’re trying to do.

That’s it. It’s not a piece of software. It’s not a subscription. It’s not some complicated bit of code. It’s a well-organised collection of the stuff about your business that currently lives half in your head and half in a chat window you’ll never find again.

Think of it like the world’s best team handover document. When you bring on a new team member, you don’t expect them to magically know your business on day one, you brief them. An AI brain is that brief, except you write it once and every AI you ever use gets briefed instantly.

Why you actually need one

Here’s the uncomfortable bit. Right now, if you’re using AI at all, you’re probably re-explaining your business every single time you open a new chat.

You paste in the context. You describe your offer for the hundredth time. You remind it of your tone. You do the whole song and dance, get one decent output, close the tab, and then do it all again tomorrow because it forgot the second you left.

And it gets worse when the tools change, which they do constantly. You spend months teaching ChatGPT everything about your business, then Claude turns up looking shiny, everyone loses their minds, and you wander over only to realise Claude knows nothing about you. So you start from scratch. Again.

That is not a you problem. That is a design problem. You’ve been building all your context inside the tools themselves, which means the moment a tool changes, gets pricier, or quietly kills the feature you relied on, your whole setup falls over.

An AI brain fixes that because it lives somewhere that belongs to you, not to any one AI company. Build it once, and it plugs into whatever tool you’re using this week, next year, or in 2030.

Where an AI brain lives

This is the part people overthink, so let me keep it simple.

Your AI brain should not live inside ChatGPT. Or Claude. Or any single AI tool.

It needs to live somewhere neutral. Somewhere that doesn’t belong to one company, that you control, that any AI can connect into. Because the entire point is that your brain outlives the tools. If it’s trapped inside one app and that app changes the rules, you’re back to square one, and we’ve already established that square one is where dreams go to die.

The exact where, and how to set it up so it plugs into any AI, is the one thing I walk through step by step inside my course, because it’s genuinely the bit that’s easiest to show live rather than explain in a paragraph. But the principle is the thing to hold onto for now, neutral home, not inside a tool.

The structure of an AI brain

Right, the good stuff. Here’s what actually goes inside your AI brain.

The trick is to keep it simple and organised into clear categories, so both you and your AI can find things fast. You don’t need forty folders. You need a handful that cover your whole business. Here’s the structure I’d start with:

  • About your business – who you are, your story, your mission, what you stand for, the founder bit. The context that colours everything else.
  • Your offers – every product, service, and package. Pricing, positioning, who each one is for, and what makes it different.
  • Your audience – who you actually serve. Their pains, their goals, the exact language they use to describe their problems (this one is gold).
  • Your brand voice – how you sound. The words you love, the words you’d never say, your tone, your rhythm. So AI stops writing like a press release.
  • Your content – your content pillars, what’s worked before, examples of your best stuff. So AI can create in your style, not a generic one.
  • How you operate – your processes, the way you like things done, your systems. This is the bit that lets AI help with the actual running of your business, not just the marketing.

Six categories. That’s a proper brain. Notice this isn’t just marketing stuff either, it’s your whole business, which is exactly why AI built on this can do so much more than write you a caption.

The simple steps to build it

Here’s the process, stripped right back.

1. Brain dump everything. Don’t worry about neatness yet. Just get everything about your business out of your head and into words. Your offers, your customer, your voice, how you work. Messy is fine. Messy is the point.

2. Sort it into those categories. Take your brain dump and organise it into the six areas above. Now it’s not a pile, it’s a structure.

3. Put it somewhere neutral. Move it out of your head and out of any single AI tool, into a home that belongs to you and connects to anything. (This is the masterclass bit.)

4. Connect your AI to it. Point your AI tool at your brain so it reads from it. Now every request comes back understanding your business, without you re-explaining a thing.

5. Keep it alive. Your business changes, so your brain changes. Add to it as you go. A brain you built once and never touched again slowly stops being useful, so treat it like a living document, not a one-off task.

That’s genuinely it. It’s not complicated, it’s just something almost nobody actually does, which is exactly why the ones who do it end up miles ahead.

The mistake most people make

The biggest mistake isn’t a bad structure or the wrong home. It’s building a brain full of vague, wishy-washy nonsense.

If you fill your brain with “we provide high quality solutions for our valued customers,” your AI is going to hand you exactly that kind of beige rubbish right back. The brain is only as good as what you put in it. So be specific. Be real. Write it the way you’d actually explain your business to a mate over a coffee, not the way you’d write an About page you secretly hate.

Specific in, specific out. Vague in, vague out. That’s the whole rule.
